Flowmailer processes personal data of her customers, prospects, and partners. We do this to help our customers as quickly and accurately as possible and to reach our professional goals. This privacy policy outlines how we handle personal information. Our policy regards Flowmailer's communication and service, with or towards (potential) customers and partners.
What personal data do we process?
For agreements with Flowmailer, registrations for email lists, demonstrations, trial accounts, price quotations et cetera through the Flowmailer website, we ask for your personal and professional details.
These details can be combined with already gathered data via Flowmailer services or request forms, or via other companies. We use cookies and other technologies to get an impression of activities within our websites, emails, and services to offer an optimized experience.

Why do we process personal data?
We use personal data to deliver the services you demand, inform about our (or our partners') products and services, and to send you invitations to participate in researches or to events related to Flowmailer. Data from Flowmailer customers, users, or partners is used for sending updates on our software. Flowmailer processes your details for these purposes:
- Execution of closed agreements, a.o. invoicing
- Meet legal obligations (administration, retention, taxes)
- Communicate with you through multiple channels (phone, post, email, social media, website, within our software), from a service as well as a marketing point-of-view
- Tailor the contents of our communication with you, for example informing you about our new or complementary service
- More adequately support you
- Improve our software and service
Mandatory disclosure
In case we demand your personal details, we clarify per case the necessity of the disclosure and the (possible) consequences when data is not disclosed. Our base principle is that Flowmailer will never process more personal details than necessary for the given purposes.
Interchanging with third parties
Flowmailer never exchanges, sells, rents, or leases your personal details with or to third parties, unless we are legally obliged to disclose these data or when you give your permission to do so. In the execution of our services, we make use of service partners. These partners are not 'third parties', but 'data processors'. Processors do not use the data for their own purposes, and process data exclusively in agreement with Flowmailer.
Data within the EEA
Personal data are exclusively processed within the European Economic Area (EEA) or countries that cover adequacy decisions - i.e. decisions certifying 'adequate' standards in data protection.
Automated decision-making and profiling
Flowmailer does not use automated decision-making, nor profiling, based on personal data.
Retention period
We will not store your data any longer than necessary.
Security of personal data
Flowmailer took appropriate technical and organizational measures to protect data from loss or any other form of unlawful processing, among which:
- Full ISO 27001 certification for all Flowmailer's processes and systems in our offices and on our platform. You can check our certificate's authenticity and scope on our auditor DNVGL's website.
- DDMA Privacy Guarantee - this certification proves the careful and transparent way Flowmailer processes personal data, and that we act conforming to current privacy regulations. Following strict enforcement procedures, the DDMA judges if we comply with rigid rules and legal obligations.
- Our website and software have SSL-certificates that guarantee our visitors and users that data are sent via HTTPS, encoding, and securing information.
Rights of the data subject
Information & Inspection
You have the right of gaining information and inspection on the personal data we process of yours. Alongside this, we will show you how and why we process these details.
Rectification
You have the right to edit your personal data or even remove them if they are no longer valid, or if the processing is no longer or has never been legitimate.
Erasure and restriction of processing
You maintain the right to demand us to (partly) remove the personal data we gathered from you. In this case, we might not be able to delete all your data, because we still need some details for other purposes.
Objection
The right to object means you can object to the processing of your data. You have this right for all processes that are not based upon (1) your explicit permission, (2) its necessity regarding the execution of an agreement, (3) meeting legal requirements or (4) the protection of you or others' vital concerns.
When you object to using your data to inform you about our activities or similar - 'direct marketing' - processes, we will always agree. You can prevent the further receiving of (marketing) emails from Flowmailer, by clicking the 'Unsubscribe' link in every commercial email you receive from us. Your data will then no longer be used for direct marketing purposes.
When you object to other ways of processing your data, we will judge if we should honor your objection. It is then up to us to prove to you that we a legitimate concern in the processing of these data. When our judgment is in your favor, we will stop further processing of your data.
Data portability
You have the right to receive the personal data we gathered from you in a structured, commonly used, and machine-readable format. This right is only applicable to the information we process based on your permission or a closed agreement. Besides, this right applies only to digitally processed data. Any analog information is ruled out. You are free to hand over the data to another party.

Practicing your rights is free, except when misused. You practice your rights by reaching out to us.
Terms
In principle, we answer your questions/requests within one month. Should answering your question/request take more time than a month, we will inform you in time.
Identification
Flowmailer can demand further proof of your identity for all questions or requests. We do this to prevent disclosure of personal data to a wrong party or the incorrect changing of it or the way we process personal data. In the light of the quick handling of your request, we ask you to send us a copy of your ID in advance safely.
Individual judgment for every request
We want to point out that the rights described above are not absolute right. There can be conditions that make us ignore a request. Each application is judged individually on its own merits. In this case, we will communicate our reasons with you. The right to object to the usage of your data for direct marketing is absolute. We honor unsubscribes from our commercial messages in any way.
Edits
Flowmailer maintains the right to edit this privacy policy. Possible edits are made to this particular page. The most recent edits date from July 12, 2019. These edits are published on our website. Flowmailer can process your data for new purposes that are not yet announced in this privacy policy. In this case, we contact you before using your data, to keep you up to date on any edit to our policy. This notification also provides an opportunity for you to refuse the process.
